SharePoint to Google Workspace Migration, Without the Surprises

Most SharePoint migrations lose permissions, metadata, and site structure nobody warned you about. Iron Cove audits what actually breaks before it breaks — then migrates your content into Google Workspace with a validated, one-shot cutover.

SharePoint Migrations Fail When Nobody Flags These First

These are the four issues that turn a routine SharePoint to Google Workspace migration into a support fire drill — and the reason we audit them before we touch a single file.

It only syncs one way

Once the migration engine runs its sync, there's no built-in path to go back and pull in what changed on the old system. We validate everything in a test pass before your team loses that safety net.

Site-level permissions get left behind

Folder and file permissions usually move. Owner and Membership roles on Microsoft 365 Group sites, tenant-level access, and shared links with special characters in the file name typically do not.

Metadata rarely survives the trip

Managed metadata, lookup columns, retention labels, and anything referencing data outside the document library have no native home in Google Workspace and need a rebuild plan, not a copy job.

Site pages and lists have no equivalent

Site collections, custom site pages, forms libraries, custom lists, site logos and branding, and the newsfeed are SharePoint-specific. They need to be rebuilt intentionally, not assumed to transfer.

Our SharePoint to Google Workspace Migration Process

A six-phase process built around one rule: validate before you cut over, since most migration engines only sync one way.

1

Pre-Migration Audit

Inventory site collections, document libraries, permission structures, and DNS records (MX, SPF, DKIM, DMARC) before anything moves.

2

Test Migration & Validation

Run a test pass into Google Workspace and check data integrity, permissions, and structure before committing to a cutover date.

3

Content & Permissions Migration

Migrate document libraries, shared drives, and folder-level permissions, and flag anything site-specific that needs manual rebuilding.

4

Cutover & Routing Cutover

Coordinate DNS and routing changes, then monitor mail and file access after cutover to confirm nothing is broken for end users.

5

Post-Migration Validation

Confirm every user can access their migrated content, resolve any post-cutover issues, and deliver a closeout summary.

What Doesn't Migrate Automatically

We tell clients this before the project starts, not after cutover. If any of these are business-critical, we scope a rebuild plan alongside the migration.

  • Site collections and site pages
  • Site logos, branding, and customization
  • Forms libraries and custom lists
  • Custom permissions at the site or tenant level
  • Owner/Membership permissions on Microsoft 365 Group sites
  • Managed metadata, lookup columns, and retention labels
  • The newsfeed
  • Shared links and permissions on files or folders with special characters in the name

Why IT Directors Choose Iron Cove

We've run migrations off Microsoft environments since 2010 as a Google Cloud Partner — including the permission and metadata cleanup work most vendors skip.

Google Cloud Partner Since 2010

Over a decade migrating organizations onto Google Workspace, alongside Microsoft Silver Partner and Okta Premier Partner status.

Test-First, One-Shot Cutover

We validate data integrity in a test migration before scheduling cutover, since most sync engines can't be run in reverse.

DNS & Routing Handled

We coordinate MX, SPF, DKIM, and DMARC changes directly with your DNS administrator and monitor mail flow after cutover.

Frequently Asked Questions

Does SharePoint content migrate to Google Workspace automatically?

No. Migration tools copy files and folder-level permissions, but site collections, site pages, custom lists, forms libraries, and tenant-level permissions are not carried over automatically and typically need to be rebuilt manually.

What happens to our SharePoint file permissions during migration?

Folder- and file-level permissions generally migrate, but site- or tenant-level permissions, Group site Owner/Membership roles, and shared links with special characters in the file name often do not, and need manual review before cutover.

Is a SharePoint to Google Workspace migration reversible?

Most migration engines run a one-way sync. Once content is migrated, there is no built-in path to pull newly-created SharePoint changes back in, which is why we run a test migration and validation pass before scheduling cutover.

How long does a SharePoint to Google Workspace migration take?

Timelines depend on data volume, number of site collections, and permission complexity. A typical small-to-mid-size migration runs several weeks from audit through post-cutover validation.

Can custom SharePoint lists, forms, and site pages move to Google Workspace?

Not directly. Lists, forms libraries, site pages, site branding, and the newsfeed are SharePoint-specific constructs with no native Google Workspace equivalent, so we scope a rebuild plan for anything business-critical first.

Do you handle the DNS and MX record cutover?

Yes. We coordinate the MX record change with your DNS administrator (or manage it directly if access is provided) and monitor mail flow after cutover to confirm delivery.
