Any instance where a signature is needed is a valid use case for Dropbox Sign — from HR onboarding to real estate, sales, insurance, and education.
Sign use cases span HR and onboarding, real estate, sales, insurance, and education — anywhere a document needs a signature.
| Vertical | Use Case |
|---|---|
| HR / On-Boarding | Employee onboarding, W-2/I-9, authorizations, offer letters, NDAs |
| Real Estate | Lease agreements or HOA resolutions |
| Purchase / Sales | Sales contracts, RFPs, procurement agreements |
| Loan / Insurance / Tax | Tax, insurance, or financial documents such as loan agreements or credit applications |
| Education | Student contracts, tuition assistance, fundraising, campus events, scholarships, faculty agreements, parental approval forms |
These use cases streamline the document signing process and improve efficiency by eliminating manual printing, signing, and scanning. Electronic signatures also help ensure the authenticity and integrity of legally binding agreements, support regulatory compliance, and enable remote signing for distributed teams.
Three things determine the best plan: the customer's use case and required features, their preferred interface (API vs. web app), and their expected volume of requests or users.
Every Dropbox Sign team member is assigned one of four roles — Admin, Team Manager, Developer (API plans), or Member — which determines what they can see and do. The Admin Console is the headquarters for managing users, teams, and settings.
Admins invite new users individually or in bulk, manage current team members, and update roles or team assignment.
Admins create and manage teams. Each team has its own Admin and Team Manager shown on the dashboard.
Admins see team-wide activity, compliance, and document status. Team Managers can view and pull reports for their own team — user activity, total requests sent, compliance, and document status.
General (company name, tagline, logo, industry), Signature Requests (From field, email signature, default title, date format), and Documents & Templates (access control, syncing to Dropbox, Box, Google Drive, or OneDrive, and document deletion rules).
Admins manage SAML SSO and multi-factor authentication for the team.
Sending limits to plan around when scoping a signature request or bulk send.
In-person signing lets a client or customer sign on an iPad or tablet using a template, and is available on Standard and Premium plans. It's intended for single-signer documents only — requests with more than one signer must go through the web app.
Bulk send lets you send single- and multi-signer requests to up to 250 people at once, and is available on Standard and Premium plans. It requires a CSV with, at minimum, a "name" column and an "email_address" column — you can download and customize Dropbox Sign's CSV template to fit your needs.
We'll help you pick the right plan, set up your team roles, and get your first signature workflows live.
