Microsoft Office 365 can support HIPAA-covered entities, but compliance isn't automatic. It depends on choosing an eligible plan, signing the right agreement, and training your staff to handle electronic Protected Health Information (ePHI) correctly. Here are the three steps to get it right.
Research Office 365's security and privacy practices to make sure they meet your organization's requirements before you rely on it for ePHI. Start with Microsoft's Service-Specific Privacy & Security documentation. Office 365 also publishes a privacy white paper you can review alongside it.
Once sign-up is complete, you must sign the Business Associate Agreement (BAA) — this is what makes Microsoft contractually responsible for safeguarding ePHI. You can start this process through the Office 365 HIPAA/HITECH FAQ. If you hold an Enterprise Agreement version of the BAA, you'll also need to email MSO-HIPAA@microsoft.com and designate a HIPAA Admin Contact.
Every employee needs training on handling ePHI appropriate to their role. Administrators should keep ePHI out of any address book or directory, and should never grant Microsoft support access to ePHI during troubleshooting. Users should be trained never to email ePHI to anyone who isn't authorized to view it.
