Analysis:

What Does My Organization Need to Know Prior to an Email Migration?
Preparation
Determine mailbox sizes prior to your email migration, this will help you determine if the license you've purchase will be able to hold all the data being transfered. By default, Microsoft provides users with 50GB mailboxes. However, several of your users, mainly leadership, may have mailboxes bigger than 50GBs and you'll have to plan accordingly.
Backup
For the larger mailboxes, we would recommend backing up the mailbox locally. While not required, we highly recommend this. Imagine this, the CEO of the organization has a mailbox size of 120GB, 48GB in their current mailbox and 72GBs in thier archive folder. You perform a mailbox migration, only to find several important historical emails are lost due to corruption. If you've already decommisioned the previous email solution, then you are out of luck. Backing up your data can be a crucial step when performing a migration for larger than normal mailboxes.
User Communication
User communication is by far the most important step in the email migration process. There are multiple things you can do to help your migration process. For example, you can send out a company wide email preparing users for the migration. You can follow that up with user guides on what to expect. You can hold brief calls performing a demonstration for users on the new system. You can even send out "How-To" guides in order to prepare your users for the migration.
System Preparation
You'll need to prepare the source and destination, whether that be by ensuring you have enough privileges to access mailboxes or that you've enabled the correct features at the destination server. This includes migrating and configuring features that you are actively using within your historical email solution.
Perform Test Migration
It should go without saying, that you should attempt to migration at least one mailbox from your source email server to the destination email server. This will help you find any issues prior to the go-live for email migrations.
What to Expect During the Migration Process
Many organizations believe that users will be impacted during the migration process. This includes the thought that users are unable to utilize their mailboxes during the migration phase, or that new email will not be captured once the migration has started.
That is simply not true! Users are able to continue to send and receive emails during the migration phase. This is because email, or better yet, the users mailbox, is being copied from the source, over to the destination server. Users will not experience any downtime or interruptions during this stage of the migration. You can rest assured that with proper planning and preparation, your users will be unaffected by this process.
Post-Migration Support
Troubleshooting:
Addressing any issues that arise during or after the migration. A delta synch can be run.
Training:
Providing training to users on the new email system to ensure a smooth transition. All end users will have to reset their password to the new service?
Documentation:
